Role description
The Finance and Administration Officer is responsible for monitoring and implementing financial operations, setting up and ensuring compliance with organisational policies and regulations, and providing administrative support to enable the effective functioning of the organisation.
Mode of work:
The finance and admin officer reports to MyData Global’s Executive Director and will work closely with the community and operations manager. Specific activities and responsibilities will be agreed on a running basis, to adapt workflows to skill sets within the team, prioritising both delivery and professional development.
Work may be done flexibly according to agreed schedules and working hours. Remote teamwork will thrive on clear communication and transparency regarding availability and workflows. Work-life balance is an explicit priority.
Though significantly focused on finances and administration, this role is expected to be fully integrated into the core of MyData Global’s activities. It is a team role that will contribute to developing and supporting a healthy shared working environment, supporting and empowering team members towards shared goals.
Responsibilities and functions:
- Conduct day-to-day financial management, including outgoing and incoming payments and invoices, maintenance of financial and accounting software, monitoring of bank accounts and online financial services, and ensuring the accuracy and timeliness of all transactions and records.
- Coordinate budgeting and financial forecasting processes on a monthly and annual basis and on-demand, to ensure strong budgeting routines, positive cash flow and financial sustainability, with the support of the ED and board treasurer.
- Monitor and maintain Finnish administrative accounts as required by Finnish administrative law, including tax, employment tax, public registry, and employee insurance accounts, to ensure the timely execution of all obligations.
- Coordinate the organisational relationship with financial vendors, including accountants, external financial officers, auditors, and any board-appointed officials with signatory rights for the organisation.
- Provide running support to team members on relevant processes, including member fee invoices, expense claims, or contracting of vendors and staff, as agreed in advance.
Deliverables
- Running and weekly: ensure the timely and accurate payment of all relevant expenses and collection of all relevant revenue on a running basis and maintain an accurate record of these transitions in the organisation’s accounting software on a weekly basis.
- Weekly: Provide a weekly report on upcoming financial and administrative deadlines and transactions and ensure that all organisational administrative accounts are in good standing on a running basis.
- Monthly: Coordinate the production of a monthly budget and financial forecast for the Board Treasurer, with the support of the Executive Director.
- Monthly: Coordinate with accountants and financial vendors to ensure timely and accurate operational functions such as payroll, employee benefits administration, holiday accruals and personnel record-keeping.
- Annual and ad hoc: Ensure the timely and accurate production of annual budgets, financial statements, and auditor reports as required by the organisation’s bylaws and Finnish regulations.
- Annually and ad hoc: Support the Executive Director and project coordinator to prepare budgets for fundraising and grant reporting, and maintain a clear accounting of staff and resource allocations across projects and cost centers.
Qualifications and criteria:
Successful candidates must have a Finnish social security number in addition to the following qualifications:
- Fluency in Finnish and English languages, both written and verbal, formal and informal.
- Strong familiarity with Finnish administrative and legal processes and relevant institutions, such as the Finnish Tax Authority and the Patent and Registry Office.
- Demonstrated capacity to manage complex financial and administrative systems and work in a multicultural and dynamic context.
- Enthusiasm for contributing to MyData’s mission to empower individuals by giving them control over their data.
It is an advantage if candidates can also demonstrate:
- Previous experience with Procountor or comparable accounting software
- Experience working in the non-profit sector
- Prior experience with administrating EU-funded projects
- Positive experience working with multidisciplinary, multicultural, virtual teams
- Ability to flexibly manage a workload that includes both responsive short-term tasks, and longer-term projects
